Use case

Turn Teams screenshots into Outlook calendar events

Use this workflow to capture meeting info from Teams, parse it securely, and send it to Microsoft 365 calendars.

When to use this

Steps

Step 1

Open the Teams or Outlook invite

Locate the message, chat, or email that shows the meeting information you want to convert.

Step 2

Capture the screenshot

Use the Screenshot to Calendar Chrome extension to select the portion of the screen that includes the agenda, times, and participants.

Step 3

Review detected details

Confirm the parsed time, timezone, and meeting links. Edit fields, add notes, or attach docs when needed.

Step 4

Send to Microsoft 365 or export ICS

Choose your Outlook calendar or download an ICS file for regulated tenants.

What gets extracted

Privacy & security notes

Screenshots never reach disk. We process them in-memory, discard instantly, and store only structured metadata for 30 days so you can resend or audit events. See the security overview and privacy policy for details.

Common issues

Screenshot captured too much UI
Crop tightly around the invite. The cleaner the capture, the more accurate the parser.
Admin consent needed
Ask your Microsoft 365 admin to approve Screenshot to Calendar. Provide our security overview for faster review.
Recurring meetings
Add recurrence inside the dashboard before publishing or edit the event later inside Outlook.

FAQ

Do you support Outlook desktop and web?

Yes. As long as you can open the invite in Chrome (desktop or browser), you can capture it.

Can I restrict who can send events to an executive calendar?

Team plans enable reviewer workflows so assistants submit drafts before publishing to VIP calendars.

How is data stored?

Screenshots never hit disk. Only structured metadata persists for 30 days by default so you can revisit it. Delete entries sooner from history.
